Beer, Wine, and Champagne are allowed for service. TABC Bartender and security are required for any and all alcohol service.
Willowood Ranch does NOT allow liquor, BYOB, or self-serve bar options.

Yes. All booked couples must obtain wedding insurance as outlined in their contract. Any event planning to serve alcohol must provide host liquor liability. We Recommend Wedsure for all your wedding Insurance needs!

While couples are not required to have a full-time wedding planner it is highly recommended to hire a Day-Of planner to get the most out of your time at Willowood Ranch. In addition to excellent local connections, Willowood does have in-house wedding planning services for Day of Coordination. Find out more (here).
Reception FAQs

Willowood Ranch has partnered with The Humble Chef Catering to bring exceptional dining options to couples and guests! While outside Catering is welcome and must be pre-approved by the venue, we encourage all parties to explore our on-site catering!

We require finalize headcount and room set plan 30 days in advance of your reserved date.

We welcome all properly licensed and insured food trucks and outdoor mobile services that align with venue policies. Please consult with your venue representative about placement options and needs specific to the services you plan to use.

Willowood Ranch does not provide linens for events. Tables and chairs are provided along with recommended measurements. Excellent rental options can be found among our preferred vendors.

Our 4000sq.ft reception hall can seat up to 300 guests. A good rule of thumb when considering your reception is the dancing room! 300 seated guests will not leave room for dance space. We recommend a guest list under 250 for ample room to enjoy the dance floor! Other special requests may also effect seating and mingle space.

All events are required to remove all personal property from the venue within 1 hr of the reception ending (After send off) and are expected to make all arrangments for rental returns in advance.
In addition, to personal propertry and rentals, all trash must be removed
Bar FAQs

Willowood Ranch has partnered with Emily. M Bartending to bring exceptional bar options to couples and guests! While outside Bartending is welcome and must be pre-approved by the venue.

As a liquor-free venue Willowood Ranch allows guided bar options that may contain beer, wine, champagen and hard setzers. All alcoholic beverages must be served by a liscened TABC bartender and wedding insurance must be obtained that includes host liquor liability.
Liquor based cocktails, shots or outside containers are not allowed.

Last call is not allowed during bar service hours. Your bar is required to close a minimum of 30mins before the end of your reception.

Yes. Glass beer bottles as well as cans are allowed. All Alcoholic beverages must served and opened by teh bartender. No self-service is permitted.
Keep in mind the weight that glass bottles add to trash at the end of the evening.

Yes. Any event serving alcohol is required to book security for the entirety of the reception. We recommend Expo Security 972-312-4228

Yes, if you would like things like canned sodas to be managed and served into glasses or by your tender, this option can be arragned

Our in-house bartending service is designed for couples who purchase their bar supplies (Cups, napkins, beer, wine, champagne, etc.) independently and have all items on site for their bartender to manage.

Cold items should be chilled a minimum of 4hrs prior to service. Willowood has 2 large white coolers avalible for chilling items. A large idustrial ice machine is on site and avalible for filling coolers before and glasses during your event.
Retreat FAQs

Our Chapel is perfectly suited to sit up to 150 guests comfortably.
Our 4000sq.ft reception hall can seat up to 300 guests.

In addition to Chef Brian's services, nearby catering, and delivery options, each house has a fully equipped kitchen.
Lodging FAQs

Wedding - Lodging can be added up to 30 days before your wedding day.
Retreats and Extended Events - For best avaliblity options please reserve your lodging 6-12 months in advance.
Additions to standing lodging reservations are first come first serve.

We do NOT offer stand-alone single-day rentals of our houses at this time. Lodging is set by a nightly price base, some houses do have a 2-night minimum.

We do not rent out the housing or pools for solitary day use at this time.

Pets are not allowed in any housing or spaces, except for service animals required for a disability. Any animal coming onto the ranch must be pre-approved by ranch staff. Resident ranch dogs freely roam the property and are not a threat to guests or visitors.

Willowood Ranch partners with local horse and trial experts to offer safe and enjoyable trail ride experiences to guests. Guests are welcome to bring their horses to ride but must arrange with Ranch management ahead of their visit.
Owners must have proof of current Coggins and be willing to sign a risk and liability waiver before unloading their horse.

Yes, each house has a maximum occupancy limit. We do require that every guest have a designated bed.
Sofas, air mattresses, and floor arrangements are NOT ALLOWED in our occupancy options without prior venue permission.
*Our spaces rely on septic systems which can be overwhelmed by over-occupancy.
